Creating and Managing Live Sessions
A step-by-step guide to scheduling instructor-led training, tracking attendance, and reviewing sessions in the eduMe admin panel.

📣 What are Live Sessions?
Live Sessions is eduMe's tool for scheduling and tracking instructor-led training (ILT) — the in-person or virtual sessions that happen alongside digital courses and guides. It captures session details (trainer, location or meeting link, date, time, and duration) and lets learners check in via a QR code, so attendance sits in the same reporting picture as your digital content.
Note: Live Sessions was previously labelled “Trainings” / “Instructor Led Training (ILT)” in some parts of the platform and in older reporting exports. You may still see the old name in a handful of legacy screens.
👩💻 Creating a Live Session
1. Go to Learning → Live Sessions
From the top navigation, select Learning, then click the Live Sessions tab. This shows every Live Session that's been created for the group.
2. Click Create
In the top-right corner, click Create. In the panel that opens, choose Live sessions under “Schedule learning events”, then click Continue.
3. Add the Live Session details
Give the Live Session a Name and an optional Description — this is the container that all individual dated sessions will sit under (e.g. “Manual Handling Refresher”). Click Next.
4. Set the session details
Fill in:
- Trainer — select who's running the session
- Type of training — In person or Virtual. Choosing In person shows a Location field; choosing Virtual shows a Meeting URL field instead
- Date — pick a day from the calendar
- Time — set the start time; the timezone is shown next to the field and can be changed via the Time zone link
- Duration — choose 30 minutes, 45 minutes, 1 hour, 2 hours, or click + to set a custom length
5. Click Create
This saves the session. It now appears in the Live Session's session list with a status of Scheduled.
➕ Adding more sessions
A single Live Session (e.g. “Manual Handling Refresher”) can have multiple dated sessions under it — useful for running the same training across several time slots, locations, or trainers.
1. Open the Live Session
From Learning → Live Sessions, click into the one you want to add a date to.
2. Click + Add session
Top-right of the sessions list. Fill in the same trainer, type, date, time, and duration fields as above, then click Add session.
👥 Taking attendance with the QR code
Each Live Session has one QR code that covers all of its scheduled sessions — eduMe automatically marks the learner as attending whichever session is running at the time they scan it.
1. Open the Live Session and click QR Code
Top-right of the sessions list page.
2. Share the code with learners
Use Download QR Code to save an image (e.g. to project on a screen or print for sign-in), or Copy QR Code Link to share the URL directly.
Note: Print or display one QR code per Live Session, not per date — eduMe matches the scan to the session that's currently in progress.
🔍 Viewing, filtering, and exporting sessions
On a Live Session's page, the Sessions list can be filtered and exported:
- Type — filter by In person or Virtual
- Trainer — filter by who ran the session
- Status — filter by Scheduled or Completed
- Download CSV — export the filtered list, including date, type, location, trainer, and status
Clicking into an individual dated session shows the list of learners who attended, along with the same Download CSV export. Learners appear here once their attendance has been recorded (e.g. via QR scan); until then it shows “No learners yet.”
📊 Reporting notes and known limitations
A few behaviours are worth knowing when you're relying on Live Sessions for compliance or completion reporting:

Note: If accurate attendance is critical, agree a consistent check-in method (QR code recommended) before the session and confirm reporting shortly afterwards, since group or shared-device attendance can be harder to attribute to individual learners.
