How to automatically deliver content with autodelivery
Create highly scalable, conditional content delivery.
Automated delivery notifies learners about a course as soon as they are added to a team you've chosen, without you having to send a delivery manually each time.
This is different from a one-off delivery, which only reaches the people who are already in a team at the moment you send. With automated delivery, anyone added to the selected team in the future is notified automatically.
Please note: automated delivery only notifies new learners added to a team after the rule is set up. Learners who are already in those teams will not be notified by the automated rule. To reach existing learners, set up a one-off delivery.
Automated delivery will also only message learners who have not completed the content before, or who have an incomplete retake in progress. Learners who have already completed the course will not be notified again.
Setting up your automated delivery
Before you start, make sure your course is created and published.
- In the admin panel, go to Learning and open your published course.
- Select the Delivery tab. Under Notify learners, click Set up delivery.
- In the Create notification panel, choose Automated – "Automatically notify learners when the content is made visible to them" – then click Next.
- Review the How this works screen. This confirms that when a new learner is added to a team you choose, they will be notified automatically about the course. Click Next.
- Select the teams you wish to notify. Tick each team whose new members should receive the course automatically, or use Select all.
- Under Delivery, your notifications will follow your company's delivery preferences (the SMS, email and WhatsApp priority order set in your settings). To set a delivery method for this course that overrides your company-wide default, switch Custom delivery to On. When you're ready, click Next.
- Edit the message your learners will receive. Customise the SMS and Email messages, or leave the default text to use the standard message. The link to the course is automatically added to the end of the SMS. Click Next.
- Set the notification time. Choose when new learners should be notified:
- Time range – learners are notified the same day if they're added to the team within the range, or at the start time the next day if they're added outside it.
- Specific time – learners are notified at one set time.
You'll see a confirmation that your automated notification has been set up, along with the teams and time window you selected.
Viewing and managing your automated delivery
Once your automated delivery is set up, the Delivery tab shows View scheduled deliveries. Click this to open the View deliveries panel, which lists each automated rule, the team it applies to, and the notification time (shown in UTC).
Do not unpublish the course or unassign any teams from this training. Doing so will break the delivery and stop new team members from being notified.
How do I delete an automated delivery?
In the View deliveries panel, click the delete (bin) icon next to the automated rule to remove it.
How do I edit an automated delivery?
Automated deliveries can't be edited once set up. To change the teams, message or notification time, delete the existing rule using the bin icon and set up a new automated delivery with your updated details.
